Access Levels
In most projects, not everyone needs the same level of access. Some users may need access to only a single workspace; others may need access to multiple workspaces. Certain folders or documents may need to be restricted, so that they are accessible only to specified users. Some users may need the authority to organize and manage information; others may only need to review materials.
WorkZone lets you give each user the appropriate level of access.
By Workspace
WorkZone allows you to create an individual extranet for each client, brand or project – separate and secure workspaces dedicated to each relationship. Each workspace can be custom branded and is immediately accessible from an easy to use drop-down list. A user can be allowed to access just one workspace or to select from among multiple workspaces.
By Folder/Document
WorkZone includes a robust permissioning system that gives you complete freedom to choose who has access to any folder, sub-folder or document. Restrict access to folders or documents that contain confidential or sensitive information. Or
use WorkZone to facilitate review of materials, by granting sequential access to individuals only after others have approved them. Granting or denying access is quick, easy and secure. Users who do not have access to a folder or document will not see those items when they log in.
By Role
You may have project managers, who organize and share most of the information, clients or colleagues who primarily review documents, and business partners who only need access to their portion of the project. WorkZone lets you give each user (or group of users) the level of authority appropriate to their role on the project.
Associates -- select from three levels of authority to enable users to create and organize workspaces, load documents and create other users. Even the most senior role (administrator) can be done by a non-technical user.
Clients -- those people whose primary need is to review work, rather than to organize or manage it. Client users get a simplified interface, with fewer tools than associates, making this an appropriate role for anyone who just needs easy access to documents.
Partners -- if you work with outside firms, contractors or freelancers on your projects, you may want to give them the ability to exchange information with you, restricted to the portion of the project on which they are involved. Partner materials are only seen by client users if you specifically authorize this (enabling you to repurpose their work in client-viewable folders).
Outsiders -- Periodically, you may need to share documents with an "outsider", who doesn't have a WorkZone user ID. WorkZone lets you set up a "Screening Room" to allow guest users to temporarily access specific documents.
